Job Purpose
  • To ensure that all delivered mail be distributed to all departments in Greenstone. All collected mail to be sent by courier or post.
  • Ensure all invoices are submitted to Workflow timeously. Follow up on payment queries where requested.
  • Relieve at Frontline Reception
  • Relieve when driver is not available
  • Mail 30% and GR’s 50% and other duties 20%
Key Accountabilities
  • Postal/Courier – Ensure that all mail received is handled accurately to achieve good customer service. Always ensure cost effectiveness by choosing the best possible way. Use initiative to select the correct type of service. Ensure that all addresses for delivery or collections are correct on the courier’s waybill. Ensure overnight mail is ready for collection for courier services
  • Franking all outgoing mail – recording of all registered letters & franking procedure
  • Consumables stock take and recording and handling (Milk, Biscuits & Coldrinks)
  • Do Goods Receipt on all invoices received both internally, externally and direct from Infosys. Action queries on payments, action reversals when required. Submit all invoices to Infosys once GR’d for payment. Follow up on outstanding invoices with suppliers monthly as per statements for department. Keep record of all your submissions / emails. Submit invoices directly to Infosys for payment
  • Assist the Manager with any Ad-hoc duties
  • Order GRN & PP16 books, do stock count, recording & handling
  • Assist at Frontline Reception when required
  • Assist with Driver duties when required
Experience
  • Minimum Matric / Grade 12
  • 3 years relevant work experience
  • Sense of urgency
  • Attention to Detail
  • Sticking to deadlines
  • Good organizational skills
  • Proficient in MS Office Package
  • Knowledge of SAP system is added advantage
  • Valid Drivers License
  • Receptionist skills
